Duties & Responsibilities
Processing:
- Ensure timely processing and delivery of all sales orders.
- Handle various documents on NetSuite, including sales orders, consignment sales, transfers, and loan sets.
- Regularly verify patient and purchase order information, resolving any discrepancies promptly.
- Notify customers of any backorders and assist with pro-forma invoices when needed.
- Maintain smooth operation of administrative tasks and filing functions.
- Email invoices and proof of delivery to customers as requested.
Consignment:
- Update consignment agreements annually and ensure compliance with company policies.
- Conduct consignment checks and warehouse processes according to procedures.
- Resolve variances in cycle counts before involving representatives and product managers.
- Process invoicing and replace consignment stock as needed.
Reporting:
- Daily reporting and escalation of unresolved issues to the Processing Manager.
- Reports include stock in transit, open orders, usage bins, and open order status.
Quotations:
- Process quotes using Excel templates, paying close attention to patient medical aid limits.
General:
- Assist with quarterly and year-end stock takes if required.
- Ensure prompt resolution of customer inquiries and maintain good relationships with hospital stock controllers.
- Be available for overtime, weekend work, and visits to State Hospitals as necessary.
- Cross-train in all aspects of the processing department to provide backup support.
Requirements
- Graduate in Business Administration, finance, or similar field.
- Minimum of +2 years of relevant work experience.
- Proficient in Microsoft Office, especially Excel.
- Experience with NetSuite or similar ERP systems preferred.
- Strong attention to detail and thoroughness.
- Valid driver’s license and own vehicle.
- Fluency in English.
- Excellent communication and administrative skills.
- Preference for non-smokers.
