PROCESSING INTERN: POTCHEFSTROOM X1

Introduction

A new position is available at the Potchefstroom branch.

Duties & Responsibilities

Processing:

  • Ensure timely processing and delivery of all sales orders.
  • Handle various documents on NetSuite, including sales orders, consignment sales, transfers, and loan sets.
  • Regularly verify patient and purchase order information, resolving any discrepancies promptly.
  • Notify customers of any backorders and assist with pro-forma invoices when needed.
  • Maintain smooth operation of administrative tasks and filing functions.
  • Email invoices and proof of delivery to customers as requested.

Consignment:

  • Update consignment agreements annually and ensure compliance with company policies.
  • Conduct consignment checks and warehouse processes according to procedures.
  • Resolve variances in cycle counts before involving representatives and product managers.
  • Process invoicing and replace consignment stock as needed.

Reporting:

  • Daily reporting and escalation of unresolved issues to the Processing Manager.
  • Reports include stock in transit, open orders, usage bins, and open order status.

Quotations:

  • Process quotes using Excel templates, paying close attention to patient medical aid limits.

General:

  • Assist with quarterly and year-end stock takes if required.
  • Ensure prompt resolution of customer inquiries and maintain good relationships with hospital stock controllers.
  • Be available for overtime, weekend work, and visits to State Hospitals as necessary.
  • Cross-train in all aspects of the processing department to provide backup support.

Requirements

  • Graduate in Business Administration, finance, or similar field.
  • Minimum of +2 years of relevant work experience.
  • Proficient in Microsoft Office, especially Excel.
  • Experience with NetSuite or similar ERP systems preferred.
  • Strong attention to detail and thoroughness.
  • Valid driver’s license and own vehicle.
  • Fluency in English.
  • Excellent communication and administrative skills.
  • Preference for non-smokers.
